Electronically Recording Employee’s Time Increases Productivity
Individual employee productivity can increase by up to 25% if they know that their time is being monitored and that they are being paid correctly research shows.
The survey, undertaken by Vizual Management Solutions shows that business leaders are keen to keep their skilled workforce and pay them correctly for the hours they put in at work. The main conclusion from the research is that an effective time recording system provides many benefits to the success of their organisation. These benefits include a reduction in payroll administration, effective management of absences, delegation of responsibility to line managers, health and safety and all employees are treated equally.
Martin Thomas, Marketing Manager with Vizual Management Solutions commented that “Line managers need to know the number of hours put in by each employee within a specific period in order to be able to pay him or her accordingly. This can be an easier task if the number of employees is relatively low and the officials concerned can manage the tracking of a small number of records manually or even by using a simple computer application.”
“The task becomes more complex if the business has a larger number of employees. Similarly, the entire operation can prove to be very costly due to human error and administrative mistakes. For this reason more and more companies are looking to implement and follow an accurate system for attendance monitoring which will make the entire process result-oriented, error-free and extremely convenient.”
“Another important reason that necessitates the maintenance of an accurate employee attendance system is to increase productivity. Ensuring that every minute of constructive work is recorded and rewarded properly will act as a motivation for the employees who will then strive to put in greater efforts and hence enhance the overall productivity of your business.”
The research concludes that one sure way of accurately measuring attendance is to implement professional tracking software that will automate the entire procedure and make it much more reliable and convenient to follow.
Amy Kirk, the New Business Manager with Vizual Management Solutions, said “Our research proves that electronic time and attendance systems are tried and tested and offer multiple benefits to companies wanting to monitor working hours. The main benefit being the amount of money it will save them. Tighter control of employees attended time reduces absenteeism and administration costs will be reduced as all shift patterns can be easily inputted into the system ensuring accurate recording.”
“Businesses can manage every aspect of an employees' attended time at work. Attendance data can be recorded in real time by employees using a wall mounted terminal, their PC the Internet or a handheld device. This range of options allows office based, shopfloor or mobile workforces to record their attendance.”
“Our research results are encouraging and prove that business leaders are not only encouraging their workforce to work harder but willing to invest in a system that will ensure they are paid correctly for the time they give to the business.”
Overseas Students are worth over £8 Billion to the UK Economy
There are currently 670,000 overseas students in the UK which are worth over £8 billion to the economy. 236,000 visas were issued in 2008-09 however the number of applications rejected in the same period was 115,000 and this in part is due to the UK Border Agency (UKBA) as they tighten their grip on bogus colleges.
Before reaching the UK, students now need to prove that they have a place at a licensed institution and colleges have to prove that they are a genuine education provider and report students who do not attend their courses.
The new Tier 4 points based system introduced by the Home Office was put in place to combat the UK’s ‘Achilles Heel’ and it has already shut down several hundred bogus colleges. Those that remain now have tighter regulations to follow and involves the monitoring and reporting of student attendance and non-attendance.
Vizual Management Solutions Ltd (Vizual) has seen a huge demand from colleges for their attendance monitoring system. Cliff Shaw, Student Attendance Project Manager explained that “Our aim is to assist colleges who are legitimate institutions looking to provide a high standard of education to overseas students.”
“Our system uses a combination of biometric fingerprint technology and student ID cards which ensure students are who they say they are. This removes the unreliability associated with manual registers and that is a key area that the UKBA is concerned with. It also helps the college to reduce administration time and associated costs..”
“In helping with Tier 4 compliance, our system keeps colleges fully informed of all student attendance and pro-actively informs them of students to be reported to the UKBA and those whose attendance behaviour is putting them at risk.”
“Our student attendance monitoring system enables colleges to meet every UKBA inspection with the confidence that their student data is clear, accurate and reliable. With colleges director’s concentrating on providing the best care for their students it is appropriate that they have the best system in place.”
Knowing the True Cost with Absence Management Software
The average UK absence rate in 2008 equated to 8.1 days per employee, with an average cost of £601 per person, according to a recent survey by Personnel Today'ssister publication IRS Employment Review. The ability to record various types of holidays, sickness and absence is now more than ever an integral part of working practice.
With global issues such as the heavy snow fall the UK experienced in March and the more recent ash falls in April companies need to have accurate records of who was unable to attend work and for what reasons.
The ban on flights since the ash fall has large implications for employers’ payroll departments. Payroll have had to decide whether the unexpected absence of stranded staff affects their annual holiday allowance or should be treated as unpaid or paid holiday. Hence the need for a company to have an accurate Absence Management system to accurately maintain and monitor these allowances.
Amy Kirk New Business Manager from Vizual said “CaptureIT by Vizual has the ability to record and highlight upto 99 different allowance types, with the added ability to record both full-day and part-day absences. CaptureIT automatically keeps track of employees’ remaining holiday entitlement and shows you how many times they have been absent due to the snow fall, ash or other issues such as sickness.”
“In addition to managing unplanned or unexpected absences CaptureIT enables you to forward plan for holidays by viewing a departmental holiday planner. Furthermore for each employees’ attendance planner you are able to drill down into a specific week or day to view the detailed work records for that period. You can then edit records and even add notes against each day and there is no limit to the amount of historical data you can retain within CaptureIT.”
Vizuals Biometric Identification System helps Businesses Track Employee’s Time and Attendance at Work
Biometric technology has advanced significantly over the last few years. Fingerprint and hand recognition systems are now used across the world in airports, financial institutions and educational establishments to positively identify individuals.

Manufacturers and office based businesses are also beginning to see the positive uses of Biometrics to monitor their employee’s time and attendance within the workplace.

Manufacturers and office based businesses are also beginning to see the positive uses of Biometrics to monitor their employee’s time and attendance within the workplace. CaptureIT Time and Attendance from Vizual is a market leading solution and continues to offer business so much more than a simple clocking in system.
Martin Thomas, Marketing Manager with Vizual said “Once an employee has clocked in using a Biometric Terminal their attendance data is captured and downloaded to the CaptureIT software. The software then enables Managers to see who has clocked in or is late or absent. This data occurs in real time so if there is a shortage of skills in one department appropriate cover can be arranged.”
“The other benefits of CaptureIT include a complete absence management system, a printed fire roll call which complies with the Health and Safety regulations, an automatic transfer of attendance data to payroll software such as Sage which means human error is eliminated, a comprehensive set of management reports including the Bradford factor, management of flexitime schemes.”
“Together with integrated Access Control, Payroll and Job Costing modules this all in one solution eliminates manual time sheet entry, improves efficiency and increases productivity.
CaptureIT provides an all in one solution for monitoring and reporting on attendance using Biomtric technology meaning that reliability of attendance data is guaranteed.
There are older style clocking in systems which are basic punch clock machines. These are open to abuse by employee’s who would clock in their friends if they were running late for a shift. Biometrics rules that out completely as the employee requires their fingerprint and that cannot be replicated. Combined with a pin code set for the individual employee it is impossible for anyone other than the employee to clock themselves in.
Martin continued “Vizual will continue to develop and promote biometric technology as it has seen an increase in popularity and is seen as the future of clocking in systems.”
Vizuals Flexitime Solution marks a change in the way we work
Flexitime is being more widely used than ever before, it has become a particularly popular option in the past 12 months for employers who need to reduce  costs but don’t want to have to make redundancies during the recession.
Amy Kirk, New Business Manager with Vizual said “Flexitime allows employees a better work – life balance and ensures that issues such as childcare, doctors’ appointments etc, that would normally take time out of an employees working day, can be easily managed without any effect on productivity.”
“CaptureIT Time and Attendance from Vizual is a market leading solution that lists the management of flexitime as one of its core competencies. From the point of view of both the manager / administrator and employee we have a range of features that make the running of any flexitime system accurate and efficient.”
“The system can be configured to hold each employee’s flexitime core period, flexible period and contracted hours. Managers / administrators can access, at the touch of a button, up-to-the-minute information on the balance of hours for each staff member.”
“CaptureIT can be used to create any number of Flexitime rules and employees can use fixed shifts or flexi time. Employers can define brought-forward maximum debit and credit hours and automatically calculate an employees’ balance for each period.”
“CaptureIT provides not only a comprehensive Flexitime system for the employer, with extensive reporting features and accurate Time and Attendance records but also a way for the employee to view their own flexitime balance, detailed attendance calendar and make holiday requests on their own PC using the Remote Clocking Utility.”
